The Icon Group, producer of the above event, is hereby requested to reserve the exhibit space for our rental use.  It is understood and agreed that exhibit space will be reserved and assigned for the exhibitor on a first registered, first served basis, AFTER RECEIPT OF PAYMENT.  The Icon Group reserves the right to assign exhibitors to the best space; or to make reasonable shifts in space location for the benefit of the exhibitor and/or the betterment of the event.  Exhibitor agrees to include, with this completed Registration for Exhibit Space, the full payment as detailed above.   I have read and agree to be bound by this Registration for Exhibit Space and the Guidelines for Exhibit Space and Sponsorship herein relevant to exhibiting at the above event.

Guidelines for Exhibit Space and Sponsorship

Terms and Conditions

  1. Event.  The event is owned and produced by The Icon Group, LLC.  For purposes of this document they are collectively referred to as “Event,” “Expo,” “Events,” “Show,” or “Shows.”  
  2. Producer of Events.  The producer of the event is The Icon Group, LLC, “Icon.”  Icon totally owns and produces the events and contracts for the sub-contractors necessary to successfully stage the events.
  3. Exhibitor. The word "Exhibitor" and “Sponsor” as used herein shall mean the organization contracting for participation as an Exhibitor or Sponsor and/or its designated representative(s).
  4. Payment of Fees for the Event:  Payment to be made by check or credit card as detailed herein.  Payment to be made to The Icon Group,  2916 NW Bucklin Hill Road, #178, Silverdale, Washington 98383.
  5. Amendments to Rules. Any and all matters or questions not specifically covered by these rules and regulations shall be subject solely to the decision of Icon. These rules and regulations may be amended at any time by Icon, and all amendments so made shall be binding on exhibitors equally.
  6. Attendance. The Icon Group, LLC shall have sole control over attendance policies at all times.
  7. Exhibit Decoration.  Includes all items as detailed in Exhibitor and Sponsor descriptions.
  8. Show Hours.  The Show Hours will be from 10:00 AM to 4:00 PM on the days of the Expo.
  9. Exhibit Set-up.  Exhibitor set-up is between 12:00 PM to 5:00 PM the day before the start of the Expo.
  10. Drayage:  All drayage will be contracted through the event decorator.  All Exhibitors and Sponsors will receive complete information from the event decorator.  
  11. Cancellation & Refunds. There are no cancellations or refunds.
  12. Exhibit Tear Down:  Exhibit booth tear down shall be completed immediately after the end of the event and be completed before 7:00 PM. 
  13. Badges. Exhibit Hall Badges will be issued to named individuals and are transferable to others within in the company.
  14. Force Majeure. No party shall be considered to be in breach of this Agreement or any applicable modification to this Agreement to the extent that a failure to perform its obligations under this Agreement or any such modification Agreement shall be due to an uncontrollable force.  The term “uncontrollable force” means any cause beyond the control of Icon and/or the exhibitors, including but not limited to (or the threat of) flood, drought, earthquake, wind, rain, hail, snow, ice, storm, fire, lightning, epidemic, war, threat of war, terrorism, riot, civil disturbance or disobedience, labor dispute, labor or material shortage, sabotage, restraint of visa issuance by government, transportation shutdown, restraint by court order or public authority, and action or non-action by, or failure to obtain the necessary authorizations or approvals from, any governmental agency or authority which by exercise of due diligence such party could not reasonably have been expected to avoid and to the extent which by exercise of due diligence it has been unable to overcome.  No party shall, however, be relieved of liability for failure of performance to the extent that such failure is due to causes arising out of its own negligence or due to removable or remediable causes which it fails to remove or remedy within a reasonable time period.  Nothing contained herein shall be construed to require a party to settle any strike or labor dispute in which it may be involved. 
  15. Compliance with Laws. Exhibitors must comply with all federal, state, city and local laws, rules, regulations and ordinances in force.
  16. Copyrighted Material. The Exhibitor hereby certifies that he has obtained all required licenses for all copyrighted material used in his exhibition/demonstration. Furthermore, the exhibitor indemnifies and holds The Icon Group and the event harmless from all liability or loss.
  17. Damage of Building. Exhibitors will not fasten displays or fixtures to the building floors or walls.   Exhibitors are liable for any damage caused by fastening displays or fixtures to the building floors or walls, and for damage they permit or cause in any other manner. Exhibitors may not apply paint, lacquer, adhesive or any other coating to building walls or floors.
  18. Displayed Materials. Only the Exhibitor's products, services and literature may be displayed. No materials or literature for other organizations, not owned by the exhibitor, are to be displayed or distributed.
  19. Eligible Exhibits. The Icon Group, producer of this event, reserves the right to determine the eligibility and appropriateness of any organization or product for inclusion in the Exhibit Hall.
  20. Exhibitor Representative. Each Exhibitor must submit in writing the name of one person to be his Representative in connection with installation, operation and removal of his exhibit. Such representative shall be authorized to enter into such service contracts as may be necessary, and for which the Exhibitor shall be responsible.
  21. Fire and Safety Laws. Federal, State, City and Local Laws must be strictly observed. Cloth decorations must be flameproof. Wiring must comply with Fire Department and Underwriters' rules. Smoking in the Exhibit Hall is forbidden. Crowding will be restricted. Exhibits cannot block aisles and fire exits.
  22. Insurance. Casualty, theft, and liability insurance coverage is the responsibility of each Exhibitor at his own expense. Northwest Job Expo® is not responsible for any loss or damage to any of Exhibitor's possessions.  The exhibitor warrants to Icon that it has general liability and damage insurance in the minimum amount of $1 million U.S. dollars.
  23. Labor. Exhibitors must comply with union work rules where applicable.
  24. Limitation of Liability. The Exhibitor agrees that The Icon Group and the event shall not be liable for any damage, theft or liability of any kind or for damage or injury to persons or property during the term of this agreement from any cause whatsoever by reason of use, occupation and enjoyment of exhibit space by the Exhibitor or any person thereon, and that the Exhibitor does indemnify and hold harmless The Icon Group and the event from all liability whatsoever on account of any such damage, or injury, whether or not caused by negligence of or breach of an obligation by The Icon Group and the event or its officers or representative(s) or in connection with this event.
  25. No Implied Services. No other products or services, other than those explicitly stated herein, are implied by or included in this contract. 
  26. Soliciting, Samples, Prizes. Order taking, sales and hiring will be permitted at the Exhibit Hal. Samples of an advertising nature, catalogs, pamphlets, publications, etc., are allowed to be distributed by Exhibitors. Prize drawings, awards for signing names and addresses, or other promotional activities, are permitted.
  27. Sub-Leasing & Sharing. Exhibitors may NOT sub-let or share their space with any company.
